The Technion – Israel Institute of Technology (hereinafter, the “Technion”), whose address is at Technion City, Haifa 3200003, is in control of Personal Information related to your application or studies at the Technion. The Technion respects your privacy and is committed to protecting, using the best tools at its disposal, the Personal Information provided to it. This privacy policy applies to Applicants and Students of the Technion (the “Privacy Policy”), in connection with any process of reviewing candidacy, admission to studies, and the studies themselves, and it supplements the Technion’s general privacy policy which appears on the website which can be found here Privacy Policy.
The purpose of the Privacy Policy is to transparently present the purposes for which the Technion collects and Processes Personal Information about you, the uses thereof, and your rights regarding your Personal Information. Please note that there may be Technion websites with their own specific privacy policies. Such a specific privacy policy will be in addition to the provisions of the Privacy Policy set in this document, and in the general privacy policy document, as applicable.
In this Privacy Policy, the following terms shall have the meanings ascribed to them:
“The Law” – The Protection of Privacy Law, 5741–1981.
“Personal Information”, “Information” – Information relating to an identified or identifiable person, as defined in the Law.
“Processing”, “Use” – Any action performed on Personal Information, including its receipt, collection, analysis of its components, storage, retention, copying, review, disclosure, exposure, transfer, delivery, or granting access to it.
“Applicants” – Those who have submitted an application for studies at the Technion.
“Students” – Applicants for studies who have been admitted to studies at the Technion, within the framework of undergraduate studies, the Graduate School, the Division of Continuing Education and External Studies, the Center for Pre-University Education, or any other study framework conducted by the Technion, including if they are on a leave of absence or a break from studies, and including those who have completed their studies at the Technion but have not yet been awarded their degree or certificate.
The Technion Processes Personal Information about Applicants and Students when they register for studies, undergo placement tests, are admitted to studies, and during their studies at the Technion, and when it offers and provides its services, including: a variety of academic study programs and courses, management of the academic system, teaching, course registration, making academic accommodations subject to the presentation of certificates, diagnoses, and approvals, exams, assignments, practicums, internships, and the like, as well as ancillary services related to studies at the Technion, including services such as information systems, libraries, other facilities, and so forth. In addition, the Technion reviews the candidacy of those who apply to one or more of its academic programs, whether the registration is done online or manually (hereinafter the “Services”).
Consent to the Privacy Policy
When submitting an application for studies at the Technion, you will be asked to consent to this Privacy Policy. Checking the box constitutes consent to the Privacy Policy and to the Processing of your Personal Information in accordance with it. You may review the Privacy Policy at any time, whether you are an Applicant or a Student. Without checking the consent box, you will not be able to proceed to the final stage of registration, and the Technion will not be able to review your application.
Collection and Processing of Information
As Applicants for studies at the Technion or as Students, we Process the Information in accordance with this Privacy Policy, and the Technion’s general Privacy Policy, including:
Personal and contact details: such as full name, ID number, date of birth, gender, marital status, residential address, email, phone number, etc.
Academic and educational status: such as matriculation certificate, psychometric exam scores, previous degrees, studies history, grades and courses, academic standing, awards, scholarships, etc.
Administrative information and supporting documents: such as records of inquiries and commitments, declarations, curriculum vitae, recommendations, etc.
Financial information: such as bank account details, payment records, as well as information and documentation required for charging tuition fees, socio-economic and welfare-related information to assess eligibility for financial aid such as loans, grants, scholarships, dormitories, etc.
Medical information: such as information about disabilities or medical or special needs as provided by you, supporting documents and requests for accommodations, counselling and accessibility documents, etc.
Disciplinary matters information: such as records of complaints, proceedings and decisions.
Security cameras: recordings from security cameras across the campus according to the Technion’s procedure for operating security cameras.
Recordings of lectures and/or courses and/or online exams: subject to notification at the beginning of the lecture/exam that the event is being recorded, and it will be Used for the purposes of managing the course and/or learning and/or examining the integrity of the exam, subject to Technion procedures.
As part of your consent to the Privacy Policy, the Technion may contact, request, and/or receive from the Ministry of Education, the National Institute for Testing and Evaluation, and/or any other relevant entity, your grades, including matriculation grades, psychometric scores, academic studies, certificate studies, diploma, and any other information necessary for reviewing your candidacy. It may also contact, request, and/or receive from the IDF and/or the Ministry of Defense, subject to any law, information regarding active reserve duty. In addition, the Technion may contact, request, and/or receive from any partner organization that chooses to provide its employees/students/associates with studies at the Technion, subject to the consent of the data subject and to a lawful agreement.
Upon your admission to studies, the Information collected and Processed during the application stage, and the Information that will be collected and Processed during your studies, as well as any consent you gave as a data subject during the application stage, will also be Used throughout the entire period you are a Student.
Purposes of Using Personal Information
Application Stage
During the application stage, the Information will be Used for the purpose of assessing your suitability for admission to the study programs; managing ongoing communication – such as sending updates, requests for completions, administrative coordination, invitations to events, and the like; information regarding benefits, offers, and opportunities, including direct marketing; registration fees; documenting and managing the application and registration; considering a request for dormitories (in relevant cases); anonymous statistical analyses for purposes such as improving the registration and admission process or examining admission rates; compliance with legal and regulatory requirements; identity verification and information security.
Admission Stage and Change of Status to Students
Upon admission to studies at the Technion, your Personal Information will be Processed to enable the provision of Services by the Technion. The Information will be Used for planning, managing, and supporting studies and the learning experience, including registration, collection and payment of tuition fees, building a schedule, providing study materials and computing services (including your Technion account) and registration in third-party systems with which the Technion may contract subject to the provisions of the Law on the matter, organizing exams, and producing transcripts and certificates; managing inquiries and academic and administrative policies (including complaints and discipline); providing access to and managing the use of Technion facilities and services (such as the library, parking, dormitories, and sports facilities); monitoring participation in learning activities and use of learning environments; improving and developing the Services and the website, conducting research, surveys, and statistical analyses for purposes such as improving and developing the Services; identity verification and information security; placement assistance; student welfare; compliance with legal and regulatory requirements; ongoing communication including updates, notices, information, and opportunities related to your studies or your affiliation with the Technion community, including direct marketing and maintaining contact with alumni.
Artificial Intelligence (AI)
The Technion may Use and/or be assisted by artificial intelligence tools for the purpose of streamlining processes, improving services, and the ongoing operation of its systems, subject to the guidelines of the Privacy Protection Authority and the provisions of the law.
Disclosure of Information to Third Parties
In addition to what is stated in the general privacy policy, Personal Information of Students and Applicants may be transferred to any and/or some of the following organizations: the Central Bureau of Statistics, government bodies such as the Ministry of Education, the Ministry of Defense, the Student Association, ASA (Academic Sports Association), partner academic institutions, partner business entities and/or hospitals [practicum/internship according to faculty and degree type], donors [grants and scholarships], and/or any body and/or organization that may be part of the study program, subject to the Student’s consent, and the like.
